Holkin Design is a web & AI studio based in St. Thomas, Ontario. We keep this simple: we collect only what we need to help you, we protect it, and we don't sell it. This policy explains what we collect through our website and our AI concierge (Iris), why, and your choices, in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
Information you give us. When you use our contact form or chat with our concierge and choose to share details, we collect your name, email address, phone number (optional), and the message or inquiry you send.
Your conversation with the concierge. So we can see what people ask and keep the answers accurate, the questions you type and the replies Iris gives are recorded, along with a session reference and the page you were on. Before anything is written down, email addresses and phone numbers are automatically stripped out of the text. If you rate an answer with 👍 or 👎, we record that rating so we can fix what wasn't useful.
We want to be exact about this, because it's easy to assume otherwise: Iris has no memory of you between visits and cannot look up an earlier conversation. That is not the same thing as nothing being recorded. It is recorded: on our side, briefly, and described here.
Anonymous usage information. We also log limited, anonymized activity: a general (city‑level) location, device type, and how you arrived. We do not store your IP address. Our analytics are first‑party and cookieless: no third‑party trackers or advertising pixels; we keep a single first‑party value in your browser only to tell a new visit from a returning one. We honour Global Privacy Control and Do Not Track: if your browser sends either signal, we collect nothing. Because we set no tracking cookies and hold nothing that identifies you, there is no consent banner to click through.

We identify these purposes at the point you share your details. We will not use your information for anything else without asking you first.
By submitting our form or sharing your details with the concierge, you consent to us using that information to respond to you as described above. You can withdraw your consent at any time by emailing us. See "Your rights" below.
Conversation text: 90 days. The questions and replies described above are automatically deleted after 90 days. That's the part that says something about you, so it goes first.
Counts: 12 months. What's left after that is a de‑identified row — a tally with no text in it — and those are deleted after 12 months. Before a month's text is deleted we keep a summary of that month's totals, so we can still see trends without keeping what anyone said.
Your contact and inquiry details: up to 12 months, then deleted, unless we're actively working together or you've asked us to stay in touch.
We never sell or rent your personal information. We use a small number of trusted service providers to run our website and concierge, who process data on our behalf under their own safeguards:
Some of these providers may process or store information outside Canada (including in the United States), where it may be subject to the laws of that country. We share only what's needed for them to provide their service.
Our concierge, Iris, answers only from a knowledge base we approve. She doesn't have access to other visitors' conversations or any outside customer data. If you choose to share your contact details, she uses them for one purpose: to pass your inquiry to us so we can follow up.
Iris has exactly one thing she can do besides talk: send us an email with your enquiry. She can't quote a price, take a payment, change anything in a system, or commit us to something. That's a design decision, not a setting.
She replies in the language you write in. The recording and deletion described above work the same way whatever language you use.

We may update this policy from time to time. When we do, we'll revise the "last updated" date above. Material changes will be reflected here on this page.
